Most small-business chatbots disappoint for a simple reason: they were built around the technology, not around the customer's actual questions. A good one is small, honest and constantly improving. This plan works whichever tool you use.
The 7 steps
- List the real questions. Open your WhatsApp, Instagram messages and email. Write down the 20 questions you answer again and again: prices, delivery, hours, how to order.
- Choose one job. Decide what the bot is for: answering questions, collecting leads, taking bookings or routing people. One clear job beats five half-done ones.
- Write answers in your own voice. Short, friendly and specific. Include prices, times and links so no one has to ask twice.
- Build a way to reach a human. Offer WhatsApp or email whenever the bot is stuck, and say when a person will reply. A dead end loses customers.
- Set boundaries. Tell the bot what it must not do, such as giving medical, legal or financial advice, and make it say so plainly.
- Test with real messages. Before launch, paste in 30 genuine customer messages and read the replies. Fix every weak answer.
- Review every week. Read the questions it could not answer. Add them. That weekly habit is what turns a basic bot into a useful one.
A friendly first message
Set expectations in one line: "Hi, I'm the assistant for [your business]. I can help with prices, delivery and bookings, or connect you with a person on WhatsApp. What can I help with?" People relax when they know what the bot can do and that a human is close by.
